Personal Data Processing Notice – Undergraduate Students

This notice aims to inform you about how Bahçeşehir University ("BAU") processes the personal data of its students. The topics related to the processing of your personal data are listed below under headings.

• Who is responsible for processing my personal data?

As Bahçeşehir University, we determine how the personal data of our students will be processed and ensure the management of the data recording system. In other words, we act as the data controller when processing your personal data.

 

• How is my personal data collected?

We collect your personal data through the following channels and methods:

• Channels for collecting your personal data ⇒ Your personal data is collected through the following channels: when you fill out forms or share your information with us in physical settings; enter information into student information systems; fill out contact forms on the website or digital platforms; or contact us by phone, e-mail, social media accounts or the BAU WhatsApp line.
• Methods for collecting your personal data ⇒ Your personal data is collected by partially automated or automated methods, or by non-automated methods provided that they are part of a data recording system.

 

• Which personal data of mine is processed?

As BAU, we process the following personal data of our students in Türkiye or abroad:

Photograph, occupation information, bank details, student transaction records, IBAN, income information, disciplinary records, transaction security information, signature, reason for excuse, reason for withdrawal/leave of absence, dates of registration, graduation and withdrawal, identity and contact information of your relatives, information obtained through surveys.

 

For our students wishing to enroll in the Pilotage department, students who submit a medical report as an excuse and our students with disabilities, we also process their health data . For our students wishing to enroll in the Pilotage department, we also process information relating to their criminal records .

• For what purposes is my personal data processed?

We process your personal data in Türkiye or abroad for the following purposes:

University Registration Procedures

Carrying out university registration, transfer and leave of absence/cancellation processes, and conducting orientation activities.

Organization and Events	Organizing events, fairs, competitions and activities, carrying out student activities, and managing corporate communication processes.
Purposes in Our Other Activities	Managing communication processes; making announcements and providing information to students, creating and managing digital application user accounts, receiving and resolving requests and complaints, conducting surveys, auditing and reporting our activities, following up and managing disciplinary and legal matters, carrying out our activities in compliance with legislation, providing information to authorized persons, institutions or organizations, and managing finance and accounting processes.

 

• Is my personal data transferred to others?

We transfer your personal data to third parties in Türkiye or abroad. To whom and for what purposes we transfer your personal data is set out below:

• Carrying out our activities in compliance with legislation, providing information to authorized persons, institutions or organizations, and fulfilling our legal obligations ® Council of Higher Education (YÖK) and Other Authorized Persons, Institutions or Organizations.
• Receiving support within the scope of procuring goods or services from third parties, ensuring the continuity of our operations, and managing finance and accounting affairs ® Suppliers.
• Conducting audits and reporting, organizing events, fairs, competitions and activities, managing relations with our business partners, and ensuring compliance with the policies and rules of Bahçeşehir Group Companies ® Business Partners.

If you authorize it through the parent information declaration form, your personal data will also be shared with the person(s) you specify in the form.

• What are the legal grounds for processing my personal data?

The legal grounds we rely on when processing your personal data are explained below with examples of data processing activities:
