Personal Data Processing Notice – Graduate Students

This notice aims to inform you about how Bahçeşehir University processes your personal data. The topics related to the processing of your personal data are listed below under headings.

• Who is responsible for processing my personal data?

As Bahçeşehir University ("BAU"), we determine how the personal data of our students enrolled in graduate programs will be processed and ensure the management of the data recording system. In other words, we act as the data controller when processing your personal data.

 

• How is my personal data collected?

We collect your personal data through the following channels and methods:

• Channels for collecting your personal data ⇒ Your personal data is collected through the following channels: when you fill out forms or share your information with us in physical settings; enter information into student information systems; fill out contact forms on the website or digital platforms; or contact us by phone, e-mail, social media accounts or the BAU WhatsApp line.
• Methods for collecting your personal data ⇒ Your personal data is collected by partially automated methods or by non-automated methods provided that they are part of a data recording system.

 

• Which personal data of mine is processed?

As BAU, we process the following personal data of candidates in Türkiye or abroad:

Full name, ID number, gender, nationality, place and date of birth, copy of ID, student number, passport information of our international students.	Phone number, e-mail address, work and home address.	Graduate application information, school/faculty/department information, graduation GPA, year and degree of graduation, English proficiency information, diploma and transcript information, courses taken, educational materials such as projects, assignments, presentations and theses, advisor information, scholarship status, exam results, GPA, academic standing, attendance status, admission and equivalence information of our international students.		Military service status, the sector you work in, the institution you work for, your profession, the unit you work in, your job title, your work experience, your photograph, CV and reference information, transaction security information, student transaction records, signature, bank and IBAN information.

For our students who submit a medical report as an excuse, we also process their health data .

• For what purposes is my personal data processed?

We process your personal data in Türkiye or abroad for the following purposes:

Registration Procedures	Carrying out registration, transfer and leave of absence/cancellation processes for graduate programs.
Education and Training Activities	Carrying out education and training activities, conducting course registration/withdrawal procedures, carrying out activities for the skills and career development of our students, monitoring students' academic and social development, and conducting assessment and evaluation processes.
Organization and Events	Organizing events, fairs, competitions and activities, carrying out student activities, and managing corporate communication processes.
Purposes in Our Other Activities	Managing communication processes; making announcements and providing information to students, creating and managing digital application user accounts, receiving and resolving requests and complaints, auditing and reporting our activities, following up and managing disciplinary and legal matters, carrying out our activities in compliance with legislation, providing information to authorized persons, institutions or organizations, and managing finance and accounting processes.

 

• Is my personal data transferred to others?

To whom and for what purposes we transfer your personal data is set out below:

• Carrying out our activities in compliance with legislation, providing information to authorized persons, institutions or organizations, and fulfilling our legal obligations ® Council of Higher Education (YÖK) and Other Authorized Persons, Institutions or Organizations.
• Receiving support within the scope of procuring goods or services from third parties, ensuring the continuity of our operations, and managing finance and accounting affairs ® Suppliers.
• Conducting audits and reporting, organizing events, fairs, competitions and activities, managing relations with our business partners, and ensuring compliance with the policies and rules of Bahçeşehir Group Companies ® Business Partners.

 

• What are the legal grounds for processing my personal data?

When processing your personal data, we rely on the legal grounds set out in Article 5 of the Personal Data Protection Law: "establishment or performance of a contract”, “establishment, exercise or protection of a right”, “processing being necessary for our legitimate interests" and "fulfillment of our legal obligations". These legal grounds are explained below with examples of data processing activities:

How can I exercise my rights as a data subject?

Article 11 of the Personal Data Protection Lawgrants certain rights to data subjects. To exercise these rights, certain procedures have been set out in the Communiqué on the Procedures and Principles of Application to the Data Controller(the "Communiqué").
